Provides administrative support to Closing and Records Management and Business Operation sections by coordinating staff meetings, scheduling meetings with internal and external customers, and staff trainings. Routes and reports the status of documents requiring approval and/or signature for assigned sections. Create, generate, or prepare various monthly and weekly reports for meetings, presentations, and data compilation. Creates and maintains ad hoc reports as needed for statistical data and decision making purposes. Processes invoices, assists with payment vouchers, and routes and distributes contracts and purchase documents as needed. Enter relevant information pertaining to the acquisition or sale of real property into our record keeping databases. Maintain and track RCAs. Perform tasks supporting the digital conversion of the City’s real estate records, including but not limited to auditing, quality control, and document review. Create and/or maintain pristine electronic records. Provides administrative work and other duties as assigned.

The position is physically comfortable; the individual has discretion about walking, standing, etc. There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature and air conditions.

MINIMUM EDUCATIONAL REQUIREMENTS Requires a Bachelor’s degree in Business Administration, Liberal Arts, or a related field. MINIMUM EXPERIENCE REQUIREMENTS Three (3) years of administrative experience is required. Professional administrative experience may be substituted for the above education requirement on a year-for-year basis. MINIMUM LICENSE REQUIREMENTS None
