Job Description:
The Texas Health and Human Services Commission (HHSC) seeks a highly qualified candidate to fill the Administrative Assistant position within the Child Care Administrators Licensing program of the HHSC Child Care Regulatory Division (CCR). The position provides administrative support to the Residential Child Care Administrators Licensing program and Program Specialist. This position processes permit renewals for the program, processes mail, retains record management systems, and enters and compiles data. The person selected for this position must have skills to maintain effective communication across the program via telephone calls, emails, and face-to-face interactions with staff, providers and general public across the state of Texas.
This position maintains and improves knowledge and skills related to administrative functions in order to support the mission of CCR, specifically regarding the Administrators License Program.

This position can be filled by a qualified applicant in the following cities based on office space availability: Houston, El Paso, Corpus Christi, Austin and San Antonio.

Essential Job Functions:
Performs data entry into the Child Care Licensing automated system (CLASS) and other electronic programs and systems.
Transcribes meeting notes and other documents to support the work of CCR.
Answers and screens telephone/email/mail inquiries; takes and routes messages accordingly.
Reviews and uploads correspondence to applicable data systems.
Processes Administrative License permit renewals.
Process and properly route payments made to the program.
Provides information about the Child Care Licensing program.
Processes mail and retains a record management system.
Works cooperatively with interagency and external agencies in fulfilling the program mission.
Performs other duties as assigned and required to maintain unit operations.
Promotes and demonstrates appropriate respect for cultural diversity among coworkers and all work-related contacts.
Greets visitors, responds to general questions, and directs callers to proper location.
Attends work regularly in accordance with agency leave policy.

Knowledge Skills Abilities:
Knowledge of computers.
Skill in using Microsoft Works or Windows environment.
Skill in program providing support in various cities and remotely.
Ability to effectively handle multiple assignments in a dynamic environment.

Registration or Licensure Requirements:

Initial Selection Criteria:
Graduation from high school or equivalent
One year full-time administrative support, general office, clerical, or secretarial experience.
Thirty semester hours from an accredited college or university may be substituted on a year for year basis for the required experience

Additional Information:
Factors such as education and experience may be considered when establishing the starting salary for employees coming from other state agencies within Texas.
